Privacy Policy

Account information. When you sign up we collect your email address, password (stored as a hash by our authentication provider), and business details such as your business name, address, hours, services, and phone number.

Website content. If you provide your business website URL, we read publicly available pages from it to configure your AI agent (services, hours, contact information).

Call data. When someone calls your BookMySlot phone number, we process the audio of the call and generate transcripts, summaries, and recordings. Callers may share information such as their name, phone number, and the reason for their appointment, which is stored as a booking.

Usage data. We collect standard technical information such as IP addresses, browser type, and pages visited, used for security and to improve the Service.

We use the information we collect to:

• Provide the Service — answering calls, booking appointments, and showing call history in your dashboard;
• Configure and improve your AI agent's responses;
• Send service notifications (for example, booking confirmations by SMS where enabled);
• Process payments and manage subscriptions;
• Maintain security, prevent abuse, and comply with legal obligations.

We do not sell your personal information or your callers' personal information.

Calls handled by the AI agent may be recorded and transcribed so that you can review them in your dashboard. As the business owner, you are responsible for complying with call-recording and consent laws that apply in your jurisdiction, including notifying callers where required. Caller data collected during calls is processed on your behalf to deliver the Service.

BookMySlot is designed to capture scheduling information only — a caller's name, phone number, the service requested, and an appointment time. It is not HIPAA-compliant, we do not enter into Business Associate Agreements, and the Terms of Service prohibit using it to collect protected health information or other sensitive categories of personal data.

We share data with a small number of processors strictly to operate the Service:

• Vapi — voice infrastructure: real-time speech processing, call recordings, and transcripts;
• OpenAI— the language model that generates your agent's responses;
• Twilio — phone numbers and SMS delivery, where you enable booking notifications;
• Supabase — database and authentication;
• Vercel — application hosting;
• Stripe — payment processing for paid subscriptions. We never receive or store your full card details.

Each provider processes data only as needed to provide their function and is bound by contractual data-protection obligations. If we add or replace a provider that handles personal information, we will update this list.

We retain your account, business, and booking data while your account is active. When you close your account, we delete or anonymize that data within a reasonable period, except where retention is required by law or needed for our own tax and accounting records.

Call recordings and transcripts are not stored by BookMySlot. They are held by our voice infrastructure provider, and the dashboard reads them from that provider when you view a call. Their retention is therefore governed by that provider's own policy rather than ours. If you need a recording or transcript deleted, contact us and we will make the request on your behalf.

Data is encrypted in transit and at rest. Access to production data is restricted, and each business's data is isolated with row-level security so that only the account owner can access it.

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. You can correct your business details at any time in the dashboard. For access, export, or deletion, contact us at the address below and we will respond within the timeframe required by applicable law.

The Service is intended for businesses and is not directed at children under 16. We do not knowingly collect personal information from children.

We may update this policy from time to time. If we make material changes, we will notify you by email or through the dashboard before they take effect.
